    Cirqley's outreach team needed to contact crash victims fast enough to convert them into clients. But their entire process was manual and disconnected.

    Every morning, the team spent 2-3 hours on the Washington State Patrol website - manually scanning crash reports, copying names into spreadsheets, then searching for phone numbers one by one. By the time they had a dial-ready list, leads were already going cold. Competitors were getting there first.

    There was no centralized lead tracking. No call logging. No performance data. Employees called from personal phones with zero visibility into outcomes. Management made decisions on gut feeling, not data.

    Our Solution

    We built a complete lead management system that automates the entire workflow - from data collection to outreach to reporting.

    The backend pipeline scrapes WSP collision data daily, enriches records with phone numbers and addresses, and pushes clean leads to a centralized database. The frontend gives managers a real-time command center and employees a one-click outreach portal with browser-based calling and SMS.

    Our designer built an intuitive interface with one-click calling and SMS, reducing the outreach team's workflow from multiple tools to a single portal. Our PM scoped the automation workflow, coordinating scraping, enrichment, and frontend development to deliver in just 8 weeks.

    The system was delivered in 8 weeks by a pre-integrated team: PM scoped the workflow, designer created the UI, two developers built the pipeline and frontend, CTO reviewed architecture at every milestone.
